Terms & Conditions

These Terms & Conditions ("Terms") govern quotes, bookings, and services provided by Fes Coffee Catering ("we," "us," or "Fes"), a mobile espresso bar / coffee catering business based at 1485 Shore Pkwy, Brooklyn, NY 11214. By requesting a quote, confirming a booking, or using our services, you agree to these Terms.

1. Services & service area

We provide mobile coffee catering and espresso bar service for events, including setup, barista service, drinks, and cleanup as described in your quote or booking confirmation. Our primary service area is New York City (all boroughs), Long Island, and New Jersey. Events outside these areas may be accepted case by case and may include additional travel or logistics fees, which we will disclose before you confirm.

2. Quotes & bookings

Online estimators (including FlashQuotes), phone, and email quotes are estimates based on the guest count, hours, location, menu, and add-ons you share. A quote is not a binding contract until we confirm your date and you accept the booking terms we send (including deposit instructions if applicable). Final pricing may change if guest count, duration, location, menu, branding, or other details change after the quote.

3. Deposits, payment & cancellations

When a deposit is required to hold a date, the amount and due date will appear in your booking confirmation. Remaining balances are due as stated in that confirmation (often before or on the event date). If you need to cancel or reschedule, please notify us in writing (email is fine) as soon as possible. We ask for reasonable notice so we can rebook the date; late cancellations or no-shows may forfeit some or all of the deposit or fees already paid, as stated in your confirmation. Reschedules are subject to our availability.

4. Client responsibilities (access, power & space)

You (or the venue) are responsible for providing safe, timely access to the event space, a suitable footprint for our cart and baristas, and the power/water access we agreed on in writing. Venue rules, load-in windows, parking, and security requirements should be shared with us in advance. Delays or inability to set up caused by missing access, power, or space may reduce service time or require adjustments to the menu or staffing without a refund for the unused portion, unless we agree otherwise in writing.

5. Insurance & certificates

Fes Coffee Catering carries insurance appropriate for mobile coffee catering. Certificates of Insurance (COI) naming a venue or client as additionally insured can be provided on request when required by the venue, subject to our insurer's terms and any fees they charge for special wording.

6. Photos & marketing

Unless you tell us in writing before the event that you opt out, we may photograph or film our cart, baristas, and general event atmosphere for our portfolio, website, and social media. We avoid featuring identifiable guests in a misleading way and will honor reasonable requests to remove a specific image that includes someone who does not want to appear.

7. Allergies, dietary needs & product quality

We serve specialty coffee and related beverages and can often accommodate dairy alternatives and common preferences when requested in advance. We are not a dedicated allergen-free facility; cross-contact is possible. Guests with severe allergies should use their own judgment. Drink recipes and bean offerings may vary with availability while we maintain specialty-grade standards.

8. Limitation of liability

To the fullest extent permitted by law, our total liability arising out of any booking or these Terms is limited to the fees you actually paid us for that event. We are not liable for indirect, incidental, or consequential damages (including lost profits or event delays caused by venue restrictions, weather, force majeure, or third parties). Nothing in these Terms limits liability that cannot be limited under applicable law.

9. Force majeure

Neither party is liable for failure to perform due to causes beyond reasonable control, including severe weather, venue closure, government action, utility failure, or illness that makes safe service impossible. In those cases we will work with you in good faith to reschedule or apply payments toward a future date when practical.

10. Changes to these Terms

We may update these Terms from time to time. The Effective date at the top of this page will change when we do. Confirmed bookings remain governed by the Terms in effect when you confirmed, unless we both agree otherwise in writing.
